Connecting customer service and sales software like MS Dynamics 365 with SurveySparrow opens up the door to refine customer experiences throughout their journey. With this integration, it amplifies the capabilities of MS Dynamics 365 by adding a layer of customer engagement and feedback.
Now, let’s see how to connect your MS Dynamics 365 account with SurveySparrow and explore the integration’s capabilities.
Connecting your MS Dynamics 365 account
1. Log in to your SurveySparrow account and navigate to the account’s settings.
2. Head to the Apps and Integrations section and search for MS Dynamics 365, then click on the toggle.3. In the “Connect your MS Dynamics 365 account” popup, choose a module that you would like to connect from the first drop-down.4. Enter your domain URL for the module and click Save.
That’s it! Your MS Dynamics 365 module is now connected to your SurveySparrow account.
Trigger a survey when an entity is created/updated
1. Navigate to the Integrate section of a survey, search for MS Dynamics 365 and open it.
2. Click New Trigger present in the “Trigger Survey when an Entity is created/updated” section.3. Under Event, choose an account to configure the event.
4. Choose an entity in the selected account.
5. Choose actions for which the survey has to be triggered.6. You can now add conditions for which the survey has to be triggered. Click Add New.
7. Choose an entity’s field.
8. Select an operator for the condition.9. Specify a value for the condition.If you would like to add more conditions under “Meet all of the conditions”, you can click Add New and proceed adding the conditions.10. Use the logic operators to further add conditions under “Meet any of the condition” section.
11. Choose the variables which you would like to pass along with the survey.12. Choose a mode to send the survey.13. Select the field in MS Dynamics that contains the recipient’s information.14. Select the Share Channel through which the survey has to be sent and click Save.
15. The trigger is set up successfully! The survey will be triggered when the configured conditions are satisfied.
Create/Update records in MS Dynamics 365
1. Inside the MS Dynamics integration for a survey, click New Mapping present in the “Create or update record in MS Dynamics 365 from survey responses” section.2. Choose an MS Dynamics 365 account in which a record has to be created or updated.
3. Choose the mapping type.4. Choose an entity under the selected account.Note: Ensure that you send the chosen entity’s ID along with the survey.
5. Choose the source type to start mapping the data.6. Choose the data to be sent to MS Dynamics 365 and select the field in MS Dynamics 365 to which the data has to be added or updated.7. Enter a default value for the field, if required and Click Add another to proceed with mapping more fields.8. Click Save to complete setting up the configuration to create or update records in MS Dynamics 365.All set! Based on the configuration, a record in MS Dynamics 365 will be created or updated once the survey receives a response.
Importing contacts from MS Dynamics 365
You can also import your MS Dynamics 365 contacts into SurveySparrow and keep them updated automatically with scheduled imports.
1. From the home page, hover over Data at the top and select Contacts.2. Click Add Contacts at the top-right corner of the All Contacts page.3. Choose More ways to import from the dropdown.4. Select MS Dynamics 365 from the list of available import sources.5. In the “Import MS Dynamics 365 contacts” popup, choose to import all contacts or import from a contact list.6. If you choose to import from a contact list, select the list from the dropdown and click Next.
7. Once the import loads, the fields extracted from MS Dynamics 365 are automatically mapped to the corresponding contact properties in SurveySparrow. Review the mapping.8. For any unmapped field, choose or create a property to map it with.9. Give a name to the import for your future reference. You can also choose to invite the contacts to the portal whenever a contact is created.10. Click Finish Import.The contacts are imported successfully! The import will be listed in your contact lists with Microsoft Dynamics 365 as the source.11. To import contacts from MS Dynamics 365 automatically, turn on the Schedule toggle against the import.12. Select a schedule frequency. You can choose to import every day, every week, or every month.13. Click Schedule.The schedule is turned on! Your contacts will be imported from MS Dynamics 365 at the configured frequency.
Disabling the integration
1. Within your SurveySparrow account’s settings, head to Apps and Integrations and open MS Dynamics 365. To disable integration with a specific MS Dynamics module, turn off the toggle against the specific module.
2. To disable the integration with all the MS Dynamics 365 modules, turn off the toggle present against MS Dynamics 365.
Note:
At a time, you can add only one account for each MS Dynamics 365 module.
To create or update a row in an MS Dynamics 365 module, ensure that the corresponding entity ID is sent for each response.
